2. What data we collect
We collect personal data in the following ways:
Contact and consultation forms. Name, email address, company name, and the content of your message.
Invoice request form. Name, email address, company name, billing address, optional VAT or tax identification number, and any notes you include.
Account creation. Name, email address, and a hashed password.
Site analytics (after consent). Pseudonymous identifiers and usage patterns collected by Google Analytics 4 and Microsoft Clarity. See the Cookie Policy below.
Server logs. IP address, user agent, and request metadata, retained for security and abuse prevention.
We do not knowingly collect special category data.
3. Why we process it (legal basis)
Consent. Site analytics and non-essential cookies; marketing communications, if any.
Performance of a contract. Account management, engagement delivery, invoicing, and payments.
Legitimate interests. Responding to enquiries received through forms, maintaining the security of this website, and keeping internal records of business communications.
Legal obligation. Retention of accounting and tax records as required by UK law.
4. How long we keep it
Contact and consultation enquiries: 24 months from the last contact.
Account records: for the lifetime of the account plus 12 months after deletion.
Invoicing and tax records: 6 years, per UK HMRC requirements.
Analytics data: up to 14 months in GA4; up to 12 months in Microsoft Clarity.
Server logs: 30 days.

We share personal data with the following processors, only to the extent necessary for them to perform services for us:

Neon, Inc. (United States) - managed Postgres database for account records and request history.
Resend, Inc. (United States) - transactional email delivery.
Cloudflare, Inc. (United States) - Turnstile captcha for abuse prevention on public forms.
Google LLC (United States) - Google Analytics 4. Loaded only with your consent.
Microsoft Corporation (United States) - Microsoft Clarity. Loaded only with your consent. Personal data within page content is masked at collection.
Gumroad, Inc. (United States) - checkout for fixed-price product purchases. If you pay via Gumroad, Gumroad acts as an independent controller for your payment data.
6. International transfers
Several of our processors are based in the United States. Where personal data is transferred outside the UK or the European Economic Area, we rely on the UK International Data Transfer Addendum, the EU Standard Contractual Clauses, and the EU-US Data Privacy Framework (where the processor is certified) to provide an appropriate level of protection.
7. Your rights

request erasure of your data;

1. Acceptance
These Terms of Service govern your access to and use of this website and the consulting services offered by Velmora House. By using this website or engaging our services, you agree to these terms.
2. The services

3. Engagement scope
The deliverables, timeline, price, and any additional terms applicable to a specific engagement are agreed in writing before work begins. The product descriptions on this site are summaries and do not by themselves constitute an offer or a contract.
4. User obligations
You will provide accurate information when creating an account, requesting an invoice, or booking a consultation.
You will not use this website to send unlawful, harmful, or deceptive content, or to attempt to compromise its security.
You will keep your account credentials confidential.
5. Payments
For fixed-price products, payment may be made via Gumroad, Inc. (external checkout) or by bank transfer following an invoice issued by Velmora House. All prices are listed in euro (EUR). VAT is applied where required by law, either by Gumroad at checkout (per buyer location) or by Velmora House on the invoice. The Executive Advisory Retainer is billed monthly with a three-month minimum commitment. The Custom Package is quoted individually.
6. Intellectual property
The content of this website, including text, graphics, and trademarks, belongs to Velmora House or its licensors. Deliverables produced in the course of a paid engagement are governed by the engagement agreement; in the absence of specific terms, the client receives a perpetual, non-exclusive license to use the deliverables for its internal business purposes, while Velmora House retains ownership of underlying methodologies, templates, and frameworks.
7. Confidentiality
Information disclosed by either party in the course of an engagement is treated as confidential and used only for the purposes of the engagement. Each engagement is covered by a written confidentiality agreement.
8. Disclaimers and limitation of liability
The website is provided on an “as is” basis. Consulting services are professional advisory services; outcomes depend on factors outside our control, including decisions made by the client. To the maximum extent permitted by law, Velmora House's aggregate liability under any engagement is limited to the fees paid for that engagement. Nothing in these terms excludes or limits liability for fraud, death, or personal injury caused by negligence, or for any matter that cannot be limited under applicable law.
9. Termination
Either party may terminate an engagement in accordance with the terms of the engagement agreement. Account access on this website may be terminated by you at any time by requesting deletion via legal@velmorahouse.xyz.
10. Governing law
These terms are governed by the laws of England and Wales. Disputes are subject to the exclusive jurisdiction of the courts of England and Wales, except where mandatory consumer protection law of the buyer's country provides otherwise.
11. Changes
We may revise these terms. The effective date at the top of the page reflects the most recent revision. Continued use of the website after a revision constitutes acceptance of the revised terms.

This Refund Policy applies to digital consulting services purchased from Velmora Housethrough this website or via Gumroad checkout.
2. B2B and B2C
Most engagements are sold to businesses (B2B) and are governed by these terms and the engagement agreement. Where a buyer is a consumer under UK or EU law - typically a sole trader purchasing for personal use - additional statutory rights apply, as described below.
3. Right of withdrawal (consumers only)
Consumers in the United Kingdom or the European Economic Area have a 14-day right of withdrawal under the UK Consumer Contracts Regulations 2013 and the EU Consumer Rights Directive 2011/83/EU. For digital services and content, this right ends once performance of the service has begun with the consumer's express consent and acknowledgement that the right of withdrawal will be lost upon commencement.
Where the buyer is a business, the statutory right of withdrawal does not apply.
4. Fixed-price packages
For Velmora Diagnostic, Process Optimization Project, Strategic Growth Blueprint, Stakeholder Communication Framework, Organizational Design Review, Market Positioning & Value Proposition, and Velmora Full Support:
A full refund is available before the kickoff session, provided no preparatory work has been delivered.
After the kickoff session and before the midpoint of the agreed timeline, a 50% refund may be issued at our discretion, taking into account work already delivered.
After the midpoint of the engagement or after any final report has been delivered, refunds are not available.
5. Executive Advisory Retainer
The three-month minimum commitment is non-refundable.
After the minimum, the retainer may be cancelled at the end of any monthly cycle. Cancellation must be sent in writing to billing@velmorahouse.xyz at least 7 days before the next billing date. Pro-rata refunds are not issued for partial months.
6. Custom Package
Refund terms for Custom Package engagements are agreed individually in the engagement agreement and recorded before work begins.
7. How to request a refund
Send a written request to billing@velmorahouse.xyz including the order or invoice reference, the package name, and the reason for the request. Refunds, where granted, are issued to the original payment method within 14 days of approval.
8. Non-refundable items
Engagements completed in full.
Bespoke deliverables that have been delivered to the client.
The three-month minimum portion of the Executive Advisory Retainer.
9. Statutory rights
Nothing in this Refund Policy limits the statutory rights of consumers under applicable UK or EU law.
